1. What CycleDoc is — and is not

CycleDoc is an organization and decision-support tool for application seasons (residency, and in the future fellowship and medical school). It helps you track programs, deadlines, signals, interviews, costs, and rankings.

CycleDoc is not an advising, coaching, or application-review service, does not write or evaluate application materials, and is not affiliated with, endorsed by, or connected to the AAMC, ERAS®, AMCAS®, the NRMP®, or The Match®. Those trademarks belong to their owners. CycleDoc does not access their systems.

2. Your responsibility for official information — read this section

Program details, deadlines, and signal counts in CycleDoc — whether entered by you or pre-loaded from public sources — are provided for convenience and may be incomplete, outdated, or wrong. Application rules change without notice. You are solely responsible for verifying every deadline, requirement, and signal count against official sources (ERAS, the programs themselves, your specialty's organizations) before acting or submitting anything. CycleDoc's rank-list tools produce suggestions for your reflection only; your certified rank order list exists solely in the NRMP's systems and is solely your decision. We are not responsible for missed deadlines, misallocated signals, application errors, interview scheduling outcomes, or match results.

3. Accounts

Sign-in is by email link; you're responsible for maintaining control of your email account. One account per person. You must be 18 or older. Provide accurate information.

4. Free tier and Cycle Pass

The free tier includes the features and program limit described on our pricing page, which we may adjust prospectively. The Cycle Pass is a one-time purchase for a single application season at the price shown at checkout; it is not a recurring subscription and does not auto-renew. Founding or promotional pricing may be offered and withdrawn at our discretion.

Refunds: within 14 days of purchase, we will refund your Cycle Pass in full on request to support@cycledoc.io, no questions asked. After that window, refunds are at our discretion. Refunding removes Cycle Pass features from your account; your data remains intact and exportable.

5. Your data and our license

Your season data belongs to you. You grant us only the license needed to host, process, and display it back to you and to operate the Service. We may use aggregated, de-identified usage information to improve the Service. Export and deletion are self-serve per our Privacy Policy.

6. Acceptable use

No sharing accounts; no scraping, bulk-extracting, or reselling the Service or its program directory; no attempting to access other users' data or non-public areas; no using the Service to violate any application system's rules; no interfering with the Service's operation.

7. Our intellectual property

The Service — software, design, directory compilation, and content we created — is ours or our licensors'. These terms grant you a personal, non-transferable license to use it, not ownership.

8. Disclaimers and limitation of liability

The Service is provided "as is" and "as available," without warranties of any kind, express or implied, including fitness for a particular purpose and accuracy of information. To the maximum extent permitted by law, our total liability for any claim arising from the Service is limited to the amount you paid us in the twelve months before the claim, and we are not liable for indirect, incidental, consequential, or special damages — including, without limitation, any damages relating to application outcomes or match results. Some jurisdictions limit these exclusions; where they do, they apply to the fullest extent permitted.

9. Termination

You may delete your account at any time. We may suspend or terminate accounts that violate these terms; if we terminate a paid account without cause mid-season, we will refund the Cycle Pass.

10. General

These terms are governed by California law. Disputes will be resolved in the state or federal courts of San Diego County, California. If a provision is unenforceable, the rest stands. We may update these terms prospectively; material changes will be dated here and, for significant changes, emailed. These terms plus the Privacy Policy are the entire agreement.
